How to assign the folder name which contains the file that gets imported as metadata for a column.

Is there a way to automatically assign the Folder name as metadata for the documents that are migrated from File share to SharePoint?

Answer:

Yes, you can import files from file share to SharePoint and assign the containing folder’s name (immediate parent folder) as metadata value for any SharePoint column.

Create a new column in Column mapping template and enter the SharePoint column name for which you would like to assign the folder name in ‘SharePoint Column’ text box. Select Use Function for source and click Function… button next to Property or value text box.

Version: 10.x, 9.x, 8.x

a)      To assign the name of the parent folder of the file:

  • Choose ‘Concatenate’ function from the function list by clicking Insertbutton.
  • Enter the ‘Parent Folder Name’ property and folder level as parameters and click 'OK'.

b)      To assign the name of folder in the source folder hierarchy (containing n levels) where the file is located:

  • Choose ‘GetFolderName’ function from the function list by clicking the Insert button.
  • Enter the ‘Path’ property and folder level as parameters and click ‘OK’.

Note: If level is set to ‘1’, the immediate parent folder name will be assigned to the files that are migrated to SharePoint.

a)      To assign the name of the parent folder of the file:

  • Choose ‘Concatenate’ from the ‘Select function’ drop box and click ‘Add’.
  • Browse and select ‘Parent Folder Name’ for ‘Parameter’ and then click ‘Add Parameter’.

b)      To assign the name of folder in the source folder hierarchy (containing n levels) where the file is located:

  • Choose ‘Extract Folder Name’ from the ‘Select function’ drop box and click ‘Add’.
  • Browse and select ‘Path’ for ‘Parameter’ and click OK.

Note: If level is set to ‘1’, the immediate parent folder name will be assigned to the files that are migrated to SharePoint.
